The Alola Foundation is a non-governmental organization operating in Timor-Leste to improve the lives of women and children. The organization seeks to nurture women leaders and advocate for women’s rights. Our motto is ‘Strong Women, Strong Nation,’ and we manage programs in Maternal & Child Health, Advocacy, Education, and Economic Development. Alola Foundation is governed by a Board of Management and is currently transitioning toward a management team that is entirely Timorese-led.
We are currently looking for qualified Timorese nationals to fill the following positions:
EDUCATION PROGRAM COORDINATOR
Role Overview:
The Education Program Coordinator plays a pivotal role in supporting and coordinating a variety of projects under the education program, including initiatives such as Scholarship Programs, Mobile Library, Teacher Training, and Community-Based Pre-Schools. This position is responsible for overseeing the implementation of all aspects of the Education Project, ensuring that all activities align with the program’s goals and objectives.
THE POSITION SUMMARY:
- Work closely with the Education Program Manager in coordinating with donors and partners;
- Coordinate with the Education Program Manager to manage various funds related to the program;
- Coordinate project activities with the Education Program Manager;
- Liaise with the Ministry of Education, Timor-Leste, for the school visit with various activities in the Education Program;
- Work closely with project officers in Program selection, Planning, Implementation, Assessment, Monitoring, and Evaluation, as well as other Education Project Coordinators and Project Officers;
- Supervise each activity implemented by the Scholarship, Mobile Library, Teacher Training, and Community-Based Preschool project;
- Conduct Training of Trainers for the school teachers as required;
- Provide technical assistance for the development of materials for training to facilitators and the Alola Education Early Childhood Centre;
- Lead the project that planned, supervised the process and progress of the program, and provided strategies to support the Fundasaun Alola Education team;
- Lead and assist the officers in all aspects of their role for the whole project implementation;
- Liaise with ministries, district/sub-district authorities, and other partner organizations to coordinate and implement project activities;
- Maintain administration, finances, and reports of the set project/program;
- Analyze and maintain data base for beneficiaries;
- Support and organize team members for other Alola programs when required;
- Provide essential information that needs to be updated for the website/newsletter on the project implementation;
- Submit monthly reports to the educational program Manager regarding the progress of the program set;
- Prepare and participate in special events, meetings, and activities associated with Fundasaun Alola’s Education program and partners;
- Work with other partner organizations to coordinate and implement projects and programs in education across Timor-Leste;
- Prepare and deliver educational activities for other Alola programs when required;
- Attend weekly and/or monthly education program meetings, and update related information to Project Officers;
- Develop weekly and/or monthly work plans;
- Submit field trip reports with outlining activities carried out and funds used;
- Manage the weekly report file of project officers;
- Support and assist teachers in regular visit school were selected by developing teaching skills through literacy, numeracy, the arts, sport, and cultural exchange activities;
- Responsible for the implementation of the Scholarship Program and managing the various funds and donations for the range of scholarships provided;
- Maintain an accurate understanding of all scholarship funds administered by the finance/ donors and the criteria/requirements of each donor;
- Maintain detailed and accurate paper and electronic records of all scholarship agreements, applications received, recipient details, and payments made;
- For existing or continuing scholarship funds, ensure that budgets are managed and payments made according to schedules;
- For new scholarship donations, establish budgets and payment schedules for recipients;
- Ensure that all project finances and scholarship funds are managed in accordance with financial policies and procedures;
- Conduct planning and carry out regular field trips to meet with heads of schools and other educational institutions, teachers, and students to explain the scholarship program and identify scholarship candidates;
- Maintain good communications with donors, providing regular donor updates, and responding to donor enquiries;
- Prepare and complete narrative and financial reports in accordance with agreements between Fundasaun Alola and Scholarship donor;
- Attend weekly Project Coordinator and/or staff meetings;
- Prepare Project Monthly reports and submit to the Education Program Manager;
- Provide information to the public about the Scholarships Program;
- Perform any other tasks as directed by the Education Program Manager and the Alola Chief of Executive Officer (CEO).
REQUIRED QUALIFICATIONS AND SKILLS:
- Bachelor degree in education preferable in Pre-School or equivalent.
- Minimal two or three years of experience in the area of Education Program Coordinator in National or International NGO.
- Experience in providing trainings to adults and teachers.
- Experience in monitoring, mentoring and providing feedback to teachers or facilitators.
- Able to prepare work plan and write project reports in Tetun and English.
- Able to work in team or alone.
- Experiences supervise project staff preferable in educational related areas.
- Proficiency in English language, both verbal and written.
- Fluently in Tetun.
- Ability on report writing both in Tetun and English.
- Strong interpersonal communication skill and ability to work in a team.
- Experience in leading a team for the project implementation to achieved the project objective.
- Good capacity and knowledge on leadership, honestly and flexibility.
- High attention to detail, ability to handle large volumes of work, and ability to manage multiple priorities, strong interpersonal communication skill and ability to work and communicate with employees at all level.
- Strong organizational and management skill to include task and time management.
- Experience in managing and leading a small and large team.
